  • Personal Identifiers: Full name, date of birth, address, phone number, and email of the patient and guardian/parent (specifically required for pediatric and autism cases).
  • Health & Clinical Information: Diagnosis details (autism spectrum, fluency disorders, etc.), assessment results, therapy notes, SOAP notes, goals, and session audio recordings (if any).
  • Insurance & Billing Data: Insurance ID, payer details, payment card info (securely tokenized by a third party), and billing history.
  • Website Usage Data: IP address, browser type, pages visited, contact form submissions, and appointment booking data.

2. How & Why We Use It

  • Providing Therapy Services: Scheduling, conducting, and documenting teletherapy and in-person sessions, as well as creating individualized therapy plans and homework assignments.
  • Communication: Sending appointment reminders, progress reports to parents and guardians, and follow-up clinical messages.
  • Billing & Insurance Claims: Submitting claims, processing secure payments, and handling insurance correspondence.
  • Legal Compliance: Maintaining records accurately as required by state licensing boards and HIPAA regulations.

3. Who We Share Data With

  • Treating Providers: Shared with physicians, school therapists, and special educators only upon obtaining explicit patient or guardian consent.
  • Insurance & Billing Processors: Necessary for claim submission. This sharing is fully covered under HIPAA Business Associate Agreements (BAAs).
  • Technology Vendors: Including our secure cloud infrastructure, telehealth tools, and secure email providers. All vendors must sign BAAs.
  • No Third-Party Marketing: We explicitly DO NOT sell, rent, or share your personal or health data for advertising purposes.

4. Children's Data (COPPA)

Because our platform supports pediatric and autism patients, COPPA compliance is federally mandated. We take the privacy of children under 13 extremely seriously.

  • Parental Consent Required: Prior to collecting any personal data regarding children under 13, we require verifiable parental or legal guardian consent.
  • Guardian Rights: Parents have the right to review, request corrections, or direct the deletion of their child’s personal information. You can do so by contacting us directly (see below).

5. User Rights & Data Retention

  • Access & Correction: Patients and guardians possess the right to request a complete copy of their records or correct inaccurate documented information.
  • Deletion Requests: You possess the right to request data deletion. However, this is strictly subject to federal and state HIPAA record retention rules (e.g., maintaining files for 6–10 years for adults; longer for minors).
  • Cookies & Tracking: We utilize essential cookies and basic analytics tools to measure website health. You will be provided transparent opt-out options for any non-essential analytics tracking in your user settings.
